The CLA HE Licence now includes provision to share content in connection with collaborative research projects, subject to terms and conditions.
This guide is intended to help you make the most of this provision whilst observing the relevant requirements.
What is meant by a ‘Collaborative Research Project’?
A current research project that:
- Is a planned activity comprising experimental or theoretical work undertaken on a systematic basis to advance knowledge.
- Is being undertaken by your HEI in collaboration with one or more other HEIs, all of whom hold a CLA HE Licence.
- Is being undertaken by the following at each of the above HEIs:
- Staff, including visiting academics
- Postgraduate students, at either Taught Masters or Research level*
What can be copied?
- CLA’s regular HE repertoire applies. If in doubt, please use our Check Permissions tool.
- Copies can be made by any of the HEIs collaborating on the research project, from publications that they own or subscribe to.
How much can be copied?
- For each extract, the extent limits of the Licence apply – the main ones are listed below.

- one chapter from a book
- two articles from a journal issue – or, where the issue is devoted to a particular theme, and the journal is not a CCC Electronic Rights-Work*, any number of articles devoted to that particular theme
- one whole report of a single case from a set of conference proceedings
OR 10% of the whole publication, whichever is the greater
- You may copy and share as many extracts as you need for use in any particular Collaborative Research Project; however, please remember that digital copies may not be stored, or systematically indexed, with the intention of creating a searchable electronic resource.
Who can such copies be made available to?
- They can be made available to those staff (including visiting academics) and postgraduate students (at either Taught Masters or Research level) who are undertaking the Research Project at each of those HEIs collaborating on the Research Project.
- Both collaboration HEIs must have the CLA licence. The institution providing the copy to the Collaboration Partner must own or subscribe to the original.
Please note that the making available of such copies must not form part of a document supply service, i.e. bulk or systematic supply of published material.

Does a Copyright Notice need to be appended to such copies?
There is no requirement under the Licence to add a Copyright Notice to copies made for Collaborative Research Projects.
Do such copies need to be reported to CLA?
No, copies made under this provision do not need to be reported to CLA.

Remember that this provision is subject to the regular terms and conditions of the Licence apply.
*For clarity, this provision doesn’t apply to individual research being undertaken by students in connection with a Course of Study (e.g. a dissertation).
